THE GOOD About RingCentral
Faxing Has Never Been Easier
Faxing with RingCentral is incredibly easy. It’s everything online faxing should be. Faxing any document is as easy as sending an email. Create an email and upload your documents as attachments. You can send faxes to multiple recipients and fax from your smartphone, PC, or Mac in just seconds. There are also Android and iOS apps available to simplify mobile faxing. Even if you’re not tech-savvy, online faxing is a piece of cake with RingCentral.
Direct Integration With The Cloud
The magical “cloud” is one of the biggest business buzzwords of the last few years. RingCentral lets you fax documents from a number of different cloud services with ease. It directly integrates with popular cloud apps like Dropbox, Google Drive, and Box.
If you want to send a fax at a future time or date, then you can easily schedule faxes. Simply choose your date or time and you’re good to go!
Easy Contact Management System
If your business already has a list of contact fax numbers, then you can integrate this contact book into RingCentral with a few simple steps. This may seem like a simple feature, but it’s a feature lacking in a lot of other online fax services. Once your contacts have been added to the service, you can sort them into different groups – like Personal and Business – and add first names, last names, and any other identifying contact information.
Excellent Tech Support and Educational Tools
Online faxing isn’t always easy. That’s why RingCentral has comprehensive learning materials which teach you everything you need to know about faxing. Learning materials cover topics like troubleshooting, teaching new team members how to online fax, and many other topics. You can contact RingCentral tech support specialists directly or browse through an online education center.
Affordable Monthly Pricing Packages
Some online fax providers charge your business an arm and a leg for basic fax service. The whole point of online fax is to avoid the high costs of running a fax machine. RingCentral features a number of plans which cater to the needs of your business. The basic fax plan – which offers 500 included faxes each month – costs $7.99 per month while the most popular plan – which includes 1000 faxes, costs $12.99 per month. Those who require unlimited faxing may be interested in the Fax Unlimited plan, which creates a dedicated fax number for each employee and starts at $39.99 per month. Overall, the monthly package pricing rates for RingCentral are very competitive and designed to fit the needs of your business.
Excellent Corporate Fax Plan
If you’re looking for an online fax plan for a larger business or corporation, then the Fax Unlimited plan from RingCentral is an excellent choice. The plan starts at $39.99 and includes two fax numbers with unlimited faxes each month. Users can add additional fax numbers for $4.99 per month. You can create fax numbers for each employee or department in your company at an affordable monthly rate, making the Fax Unlimited plan one of the top corporate online fax plans we’ve seen so far.
Even if you’re not on a corporate online fax plan, RingCentral lets you easily add features according to how you use the fax system. You can add additional fax numbers to any plan for $4.99 per month, for example. You can even give yourself a vanity number for a $30 one-time fee.
THE BAD About RingCentral
Minor UI Quirks
This is a personal complaint, but I have a minor problem with the pop-up settings on RingCentral’s main online menu. Specifically, the Messages function opens a separate pop-up window when viewing your sent and received messages. This is a minor quirk but unfortunately, there’s no way to edit these settings and open your inbox and outbox in a separate window. It’s a minor issue, but when you’re opening your inbox and outbox several times per day it can become distracting.
Downloading Faxes to View Attachments
There’s no instant way to view faxes when they’re in your inbox or outbox. Instead, you have to manually download each fax in order to view the attachments. This isn’t a problem when working with a small number of faxes, but if you’re sorting through a large number of faxes in order to find a single attached document, this can be a minor problem. An internal fax preview system would solve this problem.
International Coverage Not Included in Unlimited Plans
If you’re running an international business, then RingCentral might not be the best option. Unlimited faxing only covers faxes sent within the United States and Canada. If your business regularly needs to send faxes overseas, then you will need to pay international surcharges depending on the destination country.
RingCentral Fax Frequently Asked Questions
How does RingCentral’s international coverage work?
RingCentral lets you send and receive faxes to/from the United States and Canada. Faxing in the United States and Canada is included in your monthly package. If you fax outside of these countries, however, then you’ll need to pay an extra fee which varies from country to country (typically between 5 cents and $1, with more developed countries costing less).
Why is RingCentral’s archival system considered a weakness?
RingCentral automatically saves all your sent and received faxes. You can view these faxes via your online dashboard. What RingCentral does not do, however, is let you search through faxes, tag faxes, and view faxes. Furthermore, you’ll need to download your faxes to your local machine to actually view their content, which can be a pain when sorting through dozens of faxes.
Does RingCentral have good mobile support?
Most of today’s major online fax providers offer good mobile support. RingCentral is no exception and offers great apps for Android devices and the iPhone. All mobile apps currently have an average rating of 3.5 to 4.5 on their respective apps stores and have been downloaded thousands of times. If you need to manage your business on the go, then RingCentral is an excellent choice.
How do I pick a number with RingCentral?
During the signup process, RingCentral lets users pick a number from a list of available numbers. You can choose to receive a local number or a toll-free number. Some businesses may choose both numbers. If you’re not happy with the list of pre-selected numbers available, then you can also transfer your existing number or pay extra for a vanity number.
How does RingCentral’s pricing compare to other providers?
RingCentral offers affordable pricing compared to most other providers. The most basic plan starts at $7.99 per month for 500 included faxes while the second lowest plan starts at $12.99 per month for 1,000 faxes. Both of those monthly prices assume you’re subscribing to an annual plan as opposed to a month-to-month contract.
Are there any setup fees?
No, RingCentral does not charge any setup fees.
What kind of tech support can I get?
RingCentral offers good tech support. Tech support options include contacting the company over the phone or via social media. However, unlike other online fax providers, you cannot contact the company using an email or support ticket system, nor can you use live chat. That being said, there are plenty of FAQs, knowledge base questions, and even video tutorials available at the RingCentral website.
What kinds of attachments does RingCentral accept?
RingCentral accepts a diverse range of fax file types. Those file types include Excel/CSV files, image files, markup language files, Microsoft Word files, PDFs, .TXTs, and more. With RingCentral, you can send most file types without thinking twice: just create an email and attach whatever file you’re trying to send: RingCentral will let you know if your file is incompatible.
Which companies are RingCentral’s biggest competitors?
RingCentral is one of the biggest players in the online fax world. Its competitors include MetroFax, eFax, MyFax, MetroFax, and Nextiva.
Is RingCentral more suited for small/medium businesses or single users?
This is an impossible question to answer because RingCentral offers multiple customized plans at different levels. The most basic plan, the $7.99 per month plan, wouldn’t be ideal for small businesses which send and receive over 500 faxes each month. However, the unlimited plan at $39.99 per month would be a perfect option. No matter which plan you choose, RingCentral offers multi-user support and extensive enterprise functionality. You can also add extra features to your plan – like multiple extensions and vanity numbers – for a small extra price.
How much does RingCentral charge per page if I go over my monthly limit?
RingCentral charges between 4 cents and 6 cents per page if you go over your monthly limit. On the Fax 500 plan, that price is 5.9 cents per additional fax. It’s 4.9 cents per additional fax on the Fax 1000 plan and 3.9 cents per additional fax on the Fax 2500 plan.
Is online faxing safe with RingCentral?
Like most online fax providers, RingCentral encrypts all its users’ faxes from start to finish. Faxes are encrypted using SSL for maximum protection.
Which extra features make RingCentral unique?
RingCentral has a number of valuable features that set it apart from the competition. Few other online fax providers, for example, offer fax scheduling, which lets you reschedule a fax for a future time or date. RingCentral also has strong support for cloud services like Dropbox and Google Drive. One feature I particularly like is being able to take a picture with your mobile phone and fax that picture to a contact. You can do this with most online fax services, but RingCentral makes the process incredibly easy with its mobile apps. And of course, the affordable monthly pricing packages are a unique feature in themselves.
Does RingCentral have an unlimited plan?
RingCentral does offer an unlimited plan. The Unlimited RingCentral plan costs $39.99 per month. There is no setup fee and users can send an unlimited number of faxes each month to contacts within the United States and Canada. International faxing to all but these two countries is not included on the unlimited plan, and users will have to pay $5 per additional number.
Is RingCentral the best option out there today?
RingCentral is arguably the best online fax provider in the world today. With RingCentral, users can avoid the excessive fees and monthly charges imposed by other online fax services. At the same time, users enjoy generous monthly fax allotments and a wide range of other benefits. For all of these reasons, RingCentral is easily one of the most popular and highly-rated online fax providers in the world today and may be the best choice for you.
RingCentral Fax For Single Users
RingCentral is an excellent choice for single users. You’re allowed to send and receive up to 500 faxes each month on the most basic plan.
That sounds like a lot of faxes until you realize that the plan only costs $7.99 per month. If you require higher limits, then the Fax 1000 plan ($12.99 per month) also offers a great deal for single users.
Other features that make RingCentral Fax a good choice for single users include a ridiculously simple faxing interface. Whether you’re a computer pro or you’re awful with computers, it’s easy to appreciate the simplified RingCentral online interface. Apps are available on Android and iOS to make the process even easier.
Whether you’re logging into the RingCentral online interface or using the apps, you’ll find an easy contact management system and other nifty features – like fax scheduling.
RingCentral Single User Features
Simplified Faxing: Access RingCentral through the RingCentral online platform or by using the apps for Android and iOS. In either case, faxing via RingCentral is really simple – something any individual user can appreciate.
Affordable Pricing: The most basic RingCentral plan starts at $7.99 per month when you sign up for an annual plan. Most other providers start around this range, but some don’t offer plans for less than $10 per month. If you’re like most single users, you don’t have massive faxing needs, which is why this affordable pricing is refreshing.
Limits Unnecessary Add-ons: Other online faxing providers may give you lots of “included additional features”, but these features significantly increase the cost of the plan. On RingCentral, you get bonus features you’ll actually use and you can pay extra for the specialized services you may or may not need.
Really, the only downside to using RingCentral as an individual user is the lack of international faxing coverage on unlimited plans. That’s a feature that most other fax services do not provide, so it’s hard to fault RingCentral for this. However, online fax providers like MyFax do offer unlimited international faxing to 48 countries around the world for $10 per month, so it’s not impossible to find good plans with international coverage.
RingCentral is an excellent option for single users because it does everything an online faxing system should do. You can check all of the following qualities off your list with RingCentral:
- Affordable (plans start at just $7.99 per month)
- Generous allotments (even the most basic plan lets you send and receive 500 faxes each month)
- Excellent tech support (excellent online knowledge base and over-the-phone tech support)
- Multiple add-ons (only pay for add-ons you want to use)
For all of these reasons, we strongly recommend RingCentral Fax for single users. Other online fax services can be too expensive. They often give users lots of add-on features they don’t need – and worse, make these users pay for these features.
Instead of doing any of those things, RingCentral quietly offers all of the online fax features you need at a price you can afford. It’s that simple.
That being said, RingCentral isn’t quite perfect for small users. Like most faxing plans, you need to pay extra for international faxes and you’ll also need to download faxes to your machine locally before you can view them.
If you can get past these minor faults, then you’ll find an excellent online fax service ready for you to use.
RingCentral Fax For Small Business
RingCentral is a popular online fax provider for small businesses. It offers affordable pricing which starts at just $7.99 per month for 500 faxes as well as excellent mobile apps for managing your business on-the-go.
RingCentral’s plans scale to meet your needs. Whether your small business consists of just one employee – yourself – or 10 employees or more, you should be able to find a RingCentral plan that’s right for you.
The most basic RingCentral plan, Fax 500, costs $7.99 per month and there is no setup fee. The second smallest plan, Fax 1000, costs $12.99 per month and includes 1000 sent and received faxes each month.
Those two plans should be enough for most small businesses. However, some small businesses require more extensive faxing needs, which is why some will choose the Fax Unlimited plan. The Fax Unlimited Plan includes an unlimited number of faxes each month. Additional fax numbers for your business cost $5 per month on this plan and there’s no setup fee.
RingCentral Small Business Features
Scalable Plans: RingCentral can grow with your business. You can start off small with the most basic RingCentral plan – which costs $7.99 per month – and then scale up to the larger Unlimited plan if you start adding new employees and new faxing requirements. Adding a new number to your account costs a relatively small fee of $4.99 per month.
Mobile Apps: If your small business’s employees are regularly outside of the office, then you need good mobile support on your online faxing plan. RingCentral has excellent mobile apps and a simple online interface. It’s equally easy to use for tech gurus and tech newbies.
There are very few major issues with RingCentral. It’s a premium online faxing service that lets you easily manage faxing via any internet-connected device: nothing more, nothing less.
However, there are some issues that small business owners should be aware of. Those issues include the lack of international coverage on unlimited plans. If your business routinely deals with international clients, then you’d be better off choosing an online fax provider with extensive international coverage included. RingCentral covers faxing within the United States and Canada but faxing outside of these two countries will cost extra.
Other minor issues involve the UI – which opens an unavoidable pop-up window from the Messages function. You also have to download faxes to your local machine in order to view attachments – an annoying middle step if you ever have to sort through a lot of your faxes to find the one you need.
If you can get past these minor issues, then you’ll find one of the best online faxing plans for small businesses. RingCentral includes only the add-ons you absolutely need and doesn’t force users to pay extra for unnecessary add-ons.
Ultimately, when it comes to small business online faxing, RingCentral is easy to like due to its simplicity, affordability, and commitment to tech support.
Our Verdict About RingCentral
RingCentral has several notable features that push it ahead of the competition. Its affordable monthly packages are ideal for small and large businesses and include lots of customization options – including the unique ability to add a new fax number to any account for $4.99.
RingCentral also has comprehensive document support. While other online fax services may only allow .Doc, .DocX, and .PDF files, RingCentral boasts impressive compatibility options for additional file formats – like .txt and Excel files.
Finally, the easy UI and simple contact management system means you don’t have to spend more time than necessary using RingCentral. Sending and receiving faxes is easy and everything is available over a simple online interface.
Whether you’re faxing over a mobile device, email account, or the online RingCentral service, faxing via email has never been easier or more affordable.
