Both companies offer strong online faxing services that make it easy to send and receive faxes anywhere you go. Although the services are extremely similar, there are some differences users need to be aware of.

The difference between RingCentral and NextivaFax can be looked at like this: RingCentral is a more feature-rich provider that offers plenty of included premium features on all plans, while Nextiva is primarily web-based and basic, but will still be the better option for many businesses.

All these things considered, both RingCentral and Nextiva make it easy to send and receive faxes from your computer or any internet-connected device.

However, Nextiva has the unique ability to sync with Microsoft Office programs. That means you can be working on a Word document and go to File > Fax (just like you would print a document) in order to fax the document to any of your contacts. It eliminates an extra step and can save you a considerable amount of time if you fax a lot of documents from Microsoft Word or Excel.

RingCentral, on the other hand, has excellent online faxing apps, while Nextiva does not. Nextiva has mobile apps but they’re designed purely for VoIP users (users who have signed up for Nextiva’s virtual PBX VoIP systems). RingCentral also has extensive multi-user functionality. You can choose an administrator and give faxing privileges to multiple email accounts.

You can still send faxes from mobile devices with both RingCentral and Nextiva. However, RingCentral typically makes it easier to send faxes from mobile devices due to its excellent mobile apps. If you spend a lot of time on mobile devices, then RingCentral may be the best option for you.

Other Points of Comparison On RingCentral vs Nextiva

Mobile Apps: Both RingCentral and Nextiva have mobile apps. However, Nextiva’s mobile app is designed solely for virtual PBX subscribers and cannot be used for online faxing. RingCentral’s app, on the other hand, is quite good and lets users easily send and receive faxes from multiple mobile devices. Better yet, apps are available for the iPhone, iPad, Blackberry, and Android devices.

Tech Support: This category is difficult to judge because RingCentral has excellent tech support, but it’s only available for users on the highest level plans. Users on the most basic plan, Fax 500, only receive web-based tech support, while users on the Fax 1000 and Fax 2500 plans can enjoy 24/7 tech support. Nextiva offers excellent tech support to users at all levels. Tech support is available from 5am to 6pm (Arizona time) and on Saturday from 9am to 1pm. It’s not quite 24/7 tech support, but it does cover normal business hours across North America.

No Busy Signals: Both RingCentral and Nextiva promise 99.9% uptime and no busy signals, which means you should never miss an important fax. If multiple people are faxing your number at the same time, then the service will automatically reroute faxes to different servers to handle the increased load.

Additional PBX Plans: If your business requires a full call system and PBX, then you’ll be happy to note that both Nextiva and RingCentral offer these services. In fact, all virtual PBX plans include online faxing and can scale to meet the needs of small and medium businesses. If your small business wants to move its communications entirely to VoIP, then both Nextiva and RingCentral make it easy to make the switch.

Enterprise Features: If you plan on adding multiple users to your online fax account, then you’ll be pleased to note that both RingCentral and Nextiva offer good multi-user support. Both services include the ability to receive faxes to multiple email accounts and send multiple faxes at the same time. However, Nextiva does not let you add multiple users with login credentials or setup an administrator account. If you want to give online faxing privileges to multiple employees or company departments, then these enterprise features become very important.

Final Verdict On RingCentral vs Nextiva

RingCentral and Nextiva are surprisingly close in terms of pricing, features, tech support, and fax management. In fact, they’re virtually identical in some of these categories – especially pricing.

Each service has its unique pros and cons. However, RingCentral typically comes out on top. RingCentral supports cloud services like Google Drive and Dropbox and offers extensive enterprise features – like the ability to create multiple users and manage contact lists.

RingCentral also offers excellent mobile apps, while Nextiva does not offer apps for online faxing. You can still send and receive faxes over mobile devices, and apps are available for Nextiva Virtual PBX subscribers, but there are no dedicated online faxing apps.

All things considered, RingCentral narrowly edges out Nextiva for online faxing. However, if you’re a small business owner who simply wants to send and receive faxes an internet-connected device, then you’re going to notice very few differences between the two services.
