QuickBooks Online FAQ
Does QuickBooks offer a free trial?
QuickBooks offers a free trial with no credit card required. You can sign up for a free account and begin using the full-featured software right away. Once the 30 day trial period is complete, you’ll be prompted to enter credit card data and continue using QuickBooks as a paid subscriber.
Do I have to re-enter all data after the trial period is over?
Once your trial period is complete, you can sign up to QuickBooks with a brand new account or continue using your trial account as a full subscription. Intuit will delete your data 90 days after your trial is complete, so you have 3 months to decide whether or not you want to buy.
Can I add optional features to my account after signing up?
Yes, you can easily enhance your QuickBooks subscription with optional additional features. Those additional features include QuickBooks Online Payroll (which is virtually identical to Intuit online Payroll) as well as Merchant Services (which lets you accept payments from clients).
Can I import data from Quicken?
You cannot import Quicken data into QuickBooks.
Do I need any special equipment, hardware, or software to use QuickBooks Online?
All you need in order to access QuickBooks online is a computer with an internet-connection. On the QuickBooks website, Intuit recommends the following minimum system requirements:
- 450MHz CPU with 128MB of RAM
- Windows 8, Windows 7, Windows Vista, Windows XP, or Mac OS X
- Adobe Reader 6.0 for printing invoices
- Internet Explorer, Safari, Firefox, or Chrome internet browsers
Even PCs that are 10 to 15 years old should have those specs, so don’t worry about meeting the minimum system requirements. If you’ve purchased a PC in the last decade, you should be good to go.
Does QuickBooks back up system data?
QuickBooks always maintains two copies of your data in separate locations. All data is automatically backed up every day and stored on “firewall protected, redundant servers” which reduce the likelihood of hardware failure, software failure, viruses, hackers, and other issues.
Can I restore QuickBooks data to a previous point in time?
There is no way to restore QuickBooks data to a previous point in time because QuickBooks constantly overwrites your backup data on a daily basis. You can restore the latest backup from today or yesterday, but you won’t be able to restore a backup from last week or last month.
Can I add payroll services to QuickBooks?
QuickBooks is owned by Intuit. Intuit also makes a popular payroll management service called Intuit Online Payroll. The two services sync with each other very well and it’s easy to upgrade your existing QuickBooks account with payroll support. Simply contact an Intuit sales representative and they can walk you through the entire process. If you do choose to use Intuit Online Payroll and QuickBooks, you should never have to enter the same data twice.
Can I use QuickBooks Online when my internet goes down?
If your internet goes down, then you will not be able to access QuickBooks Online. You can, however, continue to access your bookkeeping information from any internet-connected device (it’s not tied to any single computer).
How does QuickBooks tech support work?
QuickBooks tech support is available from 6am to 6pm PST via toll-free telephone and online chat.

QuicksBooks Online Small Business
Intuit’s QuickBooks is the world’s most popular small business accounting software. In fact, back in the early 1990s, QuickBooks pioneered the industry and helped free small business owners from their accountants.
Today, QuickBooks is used by millions across the country. QuickBooks Online helps businesses manage their bookkeeping over the cloud. It’s fast, secure, and easy to use. More importantly, it’s virtually guaranteed to save time and money for your business.
Here are a few reasons why small business owners love QuickBooks:
Track income and expenses: Income and expense tracking is the most basic bookkeeping feature, and QuickBooks makes it as easy as possible. If your small business is having trouble keeping its income and expenses organized, then QuickBooks is the organizational tool you need.
Create estimates and invoices: Another key bookkeeping software feature is the ability to create estimates and invoices. You can create an unlimited number of estimate and invoices and send them to clients. Your QuickBooks estimates feature your company’s header at the top of the page and provide a professional face for your business.
Synchronize with payroll software: Virtually all of today’s online payroll software integrates directly with QuickBooks. However, some payroll services integrate better than others. Intuit Online Payroll, for example, is owned by the same company as QuickBooks. When using both services for your business, you’ll never need to enter the same data twice. Other popular payroll software like ADP and Paychex also offer QuickBooks synchronization.
Manage your business on-the-go: QuickBooks Online comes with excellent mobile apps for all major mobile devices (Android, iPhone, iPad). These mobile apps make it significantly easier to manage your business anywhere you go. If you and your employees are frequently in the field dealing with clients and sales calls, then these mobile apps can be a lifesaver – especially when tracking expenses or creating invoices. Cloud support means all changes sync in real-time across all internet-connected devices.
Accountant access: Along with adding multiple users to your QuickBooks account, you can also add multiple accountants. By default, all QuickBooks plans come with two accountant login slots. Simply provide the email address of your accountant and that individual will have immediate access to all of your business’s bookkeeping details. This is an extremely valuable benefit when tax season rolls around.
Grows with your business: QuickBooks offers scalable bookkeeping solutions. The most basic plan starts at just $12.95 per month and offers basic expense and income tracking. As your business grows, you can add rebilling features, payment scheduling, billable hour tracking, and even full payroll support via Intuit Online Payroll. In short, QuickBooks can grow with your business and you won’t need to switch to another provider as your business continues to grow.
QuickBooks has plenty of benefits that make it the world’s most popular small business accounting software. Yes, QuickBooks has existed since the 1990s, but unlike other long-running bookkeeping services, QuickBooks hasn’t ignored new technologies. Today, QuickBooks Online takes full advantage of cloud computing and offers extraordinary advantages for any small business.
QuickBooks Online Corporation
Medium-sized businesses often rely on QuickBooks for their bookkeeping needs. As the world’s most popular small and medium-sized business management tool, QuickBooks could be the right choice for your medium business.
The most basic QuickBooks plan only offers income and expense tracking and little else. Medium businesses will likely want to focus on the two higher level plans, which offer a more diverse range of features without sacrificing pricing.
Here are some of the ways in which QuickBooks can help your medium-sized business continue to succeed:
Powerful income and expense tracking: Track all income and expenses for your business using the renowned QuickBooks tracking tools. You can separate income and expenses into multiple departments, projects, and timeframes.
Invoicing and estimates: If your medium-sized business regularly sends invoices and estimates to clients, then you’ll appreciate QuickBooks’ unlimited invoicing and estimate support. QuickBooks lets you easily create professional-looking invoices that proudly display your business’s logo at the top and put your business’s best face forward.
Sync with payroll software: Whether your medium-sized business uses ADP, Paychex, or Intuit Online Payroll, you’ll be able to sync your payroll data with QuickBooks. Payroll service providers know how ubiquitous QuickBooks is in the business world. That’s why most payroll service providers feature extensive QuickBooks integration. Intuit Online Payroll is particularly good at syncing with QuickBooks and you should never have to enter the same data twice.
Support for multiple users: Want to let multiple employees or department managers access your QuickBooks account? You can do that with QuickBooks Online. QuickBooks online includes multi-user support on the two higher level plans. The Essentials plan includes support for 3 additional users, while the Plus plan supports 5 additional users. Employees can download the QuickBooks apps or access the account from any internet-connected devices.
Grow with your business: As your business grows, you may outpace the services offered by other bookkeeping providers. Fortunately, QuickBooks is not one of those providers. Its smallest plans appeal to the smallest businesses, while larger plans can grow upwards with your business. You can even add payroll services to your business (with Intuit Online Payroll) as you continue to expand.
Mobile apps: If you and your employees are frequently out of the office, then the QuickBooks mobile apps are a valuable advantage. Apps are available for Android devices as well as the iPad and iPhone. Employees can use these apps to report expenses or build invoices during a sales call. Even if your mobile device isn’t covered with a QuickBooks app, you can access your account from any internet-connected device using your mobile browser and the QuickBooks.com online platform.
Give everything to your accountant: The days of dropping a binder filled with receipts onto your accountant’s desk are long gone. Today, you can simply type your accountant’s email into QuickBooks to give your accountant full permission to view your account details. By default, all QuickBooks plans come with two accountant email slots, which is a huge advantage when tax season comes around.
QuickBooks is one of the most effective ways for medium-sized businesses to stay organized and competitive. It lets you easily track income and expenses while also creating invoices for clients.
Best of all, you can do all of this from any internet-connected device over the cloud. With plans starting at $12.95 per month, it’s easy to see why QuickBooks is a high-value solution for all different sizes of businesses.

I have a small fleet claim processing business with 7 employees. I still use QuickBooks + Enhanced Payroll.
Based on my experience, it’s very hard to know which software is good until you are well deep into it. A good payroll service should address each of the following.
Integrated w/ bookkeeping software
tax tables subscription (Federal & State)
print checks and stubs
Print Federal tax forms
Print State tax forms
e-file Federal forms
e-file State forms
e-pay Federal taxes
e-pay State taxes (for states that have the option)
direct deposit option
Once your efile/epay accounts have been established with the IRS and your State, your payroll software should be able to automate it.
